Setting Up Billing?
Hello newbie,
And I mean that with all the best. In fact my ears are still a little wet, Ok maybe a little sometimes when it comes to running my own business.
I will tell you my experiences to date with insurance companies: If my customer wants me to bill there insurance company I collect all info from there insurance card. Usually on the back will be the agent address. I don't even call for a claim#. I submit my Direct billing letter along with there copy of my invoice. This has not failed me yet. May get a phone call here or there to see who is SAFE GLASS TECHNOLOGIES. I look forward to any chance I can talk to someone in a position to make a difference. It allows me the opportunity to show them I am a real deal.(Legit). After that no problems. Also I have received the majority of my payments in less than 3 weeks and most under 2 weeks.
Oh by the way: you can get some good info at IGA site and even glassbytes if you search on direct billing.
To be honest with you all I have not used riches's list yet. Keyword being yet. So with that said I think it is vital to keep updating that list when we can we will all benefit.

Cool, Other than the customer's information, what do you include on your "Direct Billing Letter"
Is it just your company information or is it an actual letter?

new guy thats a good legit question, so bfenne could you type out your letter for all of us to see I'm sure it would be of great help to all of us little people, thanks!

You are right that is a good question. I will gladly post some details but I cannot post it in its entirety for two reasons:
1. In the letter I claim it to be proprietary and confidential to my company "Safe Glass Technologies" as well as my invoice so you can see there would be a conflict of interest there.
2. I paid allot of money to have a lawyer word it correctly (legal mumbo jumbo). I believe that this is what gets it through with little or no problems. I am sure we can all understand my concerns.
With that said,
1. Appeal to there sense of efficiency.
2. Let them know there billing network is a direct competitor of your company.
3. Talk about your clients right to choose(depending on state) and there right to privacy.
4. Let them know you wont accept checks from your competitors.
5. Let them know your company is stable and you don't want to jeopardize that status.
6. Let them know you are willing to work with them.
7. My primary letter is 1pg. and 4para. long
Basically that is it. I do have different letters for different situations but I have not had to use them yet.
As I posted before you can find good info at the IGA site and glassbytes site if you don't want to spend the money with a lawyer. Also, if you want to take the time i am sure the libary would have books with the laws in your state pertaining to this.

2. I saw that you charge $65 per chip. Is that $65 per chip or $65 for the first and then a lower amount for each additional chip?

Thank you for the kind words. What I do is bill the local agent when possible. Sometimes that info will be with the insurance information or the owner might know it. If it not available I bill to the address given. I have had agency's(local) that cut checks local and I have had agency's that forward the invoice to their headquarters to have the check cut. I always prefer that it gets done local when possible. It is processed faster that way. Ultimately either way is fine as long as I get paid.
Now as to my pricing, I do not offer the insurance company any breaks but it is a fair price. I always charge the highest amount first and the lower second.
Let's say the customer has combination break. I always bill for the crack repair first $79.00 (A crack is a crack) and the chip repair second $25.00. If it is just a bullseye then I would just charge $65.00 for the chip repair. I never get a break from any insurance company I deal with so they get no breaks from me.
For a retail customer, well I always offer a special and I am always creating new specials. Basically they pay my wholesale rate $50.00. For my fleet accounts they pay $50.00 but I have volume discounts for them.
My friend don't restructure your pricing based on your competition. Let them cut each others throats and you wont have any competition eventually. Have confidence in yourself and your service. Remember: A good repair is not cheap and a cheap repair is not good... This will be true more often than not.
