Hi guys...

Just wanted to see if any of you great WSR folks
maintain your local Carmax...

I maintain my local Carmax and have been having
serious problems getting paid properly. The problem
started first of December and has not been resolved
yet.

Problems include invoices "missing" from the computer,
therefore they don't get paid. Paying for only half of
invoices submitted... etc.

Anyone else having these problems? The reason I ask
is that I want to find out if this problem is occuring
nationally or if this is just a problem with my local
Carmax. They tell me at the local level that they
don't know what the problem is... That is not an
acceptable answer. AND... They are reluctant to
provide me with the national Accts. Rec. number.

Like I said, I haven't been paid properly since the
first of December. This is getting a bit rediculous...
especially from the largest chain of dealerships in the
country. You would think that the largest corporate
dealership chain in the country could do something
as simple as pay their bills huh? After all... they ARE
owned by Cicuit City.

I have come here to find others who may be having
the same problem. If you are having the same problems,
please post them in reply to this. I'm hoping to find
others having problems so that I can bring it to the
attention of the local Carmax management.

I feel that if I can say: "I know that X# of WSR folks around the country are having the exact same problem."
Maybe, just maybe they will get on the ball.

I know it may be unorthodox to mention account
names like this. But if no one comes forward publically,
the rest of us will never know.

I would hate for other WSR folks to have the same
problems and remain in the dark. I do ALOT of work
for Carmax... They are my largest account. Makes it
kinda hard to pay the bills when your largest account
is quickly turning into a major debting situation... ya know?

We service 30 fleet accounts weekly and have learned in the past that the accountant girls come and go very often. We leave them an invoice at the time of the repairs and also at the end of the month we send out monthly statements along with copies of the weekly invoices so they again have all their copies. This has cut down on some of the lost paperwork, but the dealerships usually like to play with OUR money as long as they can. Hope this helps.

We use some software with point of sale in it we bought off of ebay and it is always there for sale around $50. It is Business Plus Accounting. We also use Mainstreet but have since decided to drop it.The ebay software keeps a very good database and prints monthly invoices very easily. If needed any more info email me at clearview@jam.rr.com I can asure you all fleet or most fleets do what carmax is doing at some time or another.

Thanks for the reply GWT! I appreciate your input.

I'll have to look into that software you mentioned.
Sounds like an easier way of keeping track of things
than I currently use.

Most of my dealers are on the ball with payouts or
just cut the check immediately. Carmax WAS my
most dependable account until they made some
kind of change in the computer systems nationwide.
Since then, I haven't been paid properly but one time.

Locally, the girl that I used to drop my invoices off
with is still there. BUT these new computer changes
will now only let the inventory manager access the
inventory to assign vendor sublet invoices.... And he
swears he's inputting all of the invoices. Oh well...
guess I'll see what he says on Monday.

**Still looking for similar Carmax problems nationwide...

I recommend to get a purchase order for every invoice you submit.Purchase orders DO NOT GET LOST.

Hi DV... Thanks for the comment...

Unfortunately, these guys don't issue POs. Their
system is totally computerized and the only reference
number is what they call the "RO#". All I can do is
write the RO on my invoices for reference... What
makes it even worse is the fact that they require
one separate invoice for each individual car. Since
they made a major computer change nationally, that
seems to be where the problem was created back in
December. RO#s did actually get lost...

Looks as if they are about to get back on schedule now
though... we'll see how it goes.

i've got to hand it to them if they canget you to believe that story.fully computerized operations dont loose any thing thats why they are computerized.it sounds like they lost your invice's not thier ro's.
some places will require a seperate invoice for each veh.that is to your advantage also.what if they lost your invoice with 10 jobs?
try adding:2-5% discount if paid by 1st of month.
2% late fees if not paid by 10th of month.
you should have all your invoices paid with a deduction for paying by 1st month

CarMax is one of the Biggest dealers in the Country... You know how SOME car dealers work... O.P.M. Other peoples money.... they can turn the car and have the profit in their hands before you see your money... its called smart Business, Grocery stores do it all the time.

Brian, I am glad you ask that question. I was trying to figure out what carmax was also.. Never heard of it in AZ. all we have is consignment lots and everyone is to cheep to spend more money on their auto's as long as they are selling it anyway.
